The functionality described below is available only to organizations who are on Cobalt version 4.0 or higher.
The Display in Membership Directory functionality gives your members control over whether they are displayed in the public Member Directory, and how much of their information is included.
To set this up, you will need to add a Page to the Profile Update section of the portal with a mapped question for members to choose their display option.
Additionally, you can control which Member Types as a whole are displayed in the Directory, which will take precedence over the choice of individual members.
Creating the Profile Update Page
- Navigate to the Settings record.
- Select the Profile Update Form.
- Select the Launch Designer ribbon button.
- Click New Page.
- Add the Field or Related Entity “Display Information in Member Directory”, then click Add Question.
- Click (edit...) to open the new question.
- Set Required to Yes and add a Required Message, then save the question.
- Click Edit Page.
- Set a Page Name, Display Name, and add Page Instructions if desired. Make sure the Page Type is Question Page. Click Save Page when finished.
- Save and close the designer.
Members can update this themselves by navigating to the Profile section of the portal, where this new Page will now display. For more information on each display option, visit this article: Levels of Display in Membership Directory.
Controlling Member Type Display
If you want to exclude a certain Member Type from displaying in the Directory, whether the members opted into being displayed or not, you can do so from the Member Type record.
In the following example, the member has a Member Type of General.
On the General Member Type record, we set the Display in Directory field to No.
We impersonate this member and set their Display in Directory preference to the Full Display option, but because they have a Member Type of General, they are not displayed in the Directory in spite of individually opting in to being displayed.
Note! If a member has multiple memberships, and at least one has a Member Type has Display in Directory field to Yes, the member will appear in the Member Directory but only display membership information for the opted-in Member Types.
