Exam Section Results and Retakes

In Cobalt 4.1, there is now functionality to configure Exams with sections with configurable limits to allow retakes. 

Pre-requisites / Data Set Up:

On the Exam Type record, the following fields  are set:

  • “Individual Failed Section Limit” – this field indicates the number of times an unique section can be failed before the entire test requires a full retake.
    1. This has been set to “2” (e.g. each section has a maximum of 2 failures allowed before the entire test is moved to status failed)
  • “Total Failed Section Limit”- this field indicates how many sections can be failed in one instance before the entire test requires a full retake.
    1. This has been set to “2” (e.g. a maximum of 2 sections can have a status of failed before the entire test is moved to status failed and the candidate is not allowed to retake individual sections)
  • “Exam Section Fail Limit” - this field indicates how many sections can be failed and still pass the exam.
    1. This has been set to “0” (e.g. 0 sections can have a status of failed before the entire test is moved to status failed).

Exam Type record should have related Tests - there should be a Test record for the "full" exam as well as separate Test records for each section that will have a retake.

On the related Test record for a retake test (not the "full"), verify that the "Exam Section Retake" lookup field is populated appropriately to the corresponding Exam Section name.

  • This field relates the retake Test to the appropriate Exam Section record, and is what controls the visibility of this Test record on the portal-side Exam Selection page (so that candidates are unable to sign up for a retake test unless they are eligible for a retake)

User Experience:

When the candidate has not yet taken their exam, they can view the upcoming exam details from the hyperlink ont he exam tile.

In CRM, Staff can upload the results of the Exam once the candidate has taken it. In this case, the candidate has failed two sections, causing them to not complete the exam requirement. They will need to retake the sections.

On the portal, the candidate now sees a hyperlink to view their results. On the Exam results page, they can see the Test Name, Test Date, Pass/Fail, and a hyperlink to view the section results.

The section results page will display which sections they failed and which they passed.

On the progress visual, the candidate will see that their Exam requirement is still pending and they will need to register for a retake.

Once registering for the Specialty Exam Section Retake, I can see the details display on the upcoming exams tile. 

Once the retake is taken and passed, the Test Application passes, which in turn passes the Exam and completes the last requirement. The certification is now active and the Exam results update.
