The functionality described below is available in Cobalt version 4.1 and above.
Cobalt has introduced a new Progress visualization on the applicant portal homepage, providing a clear visual guide through the certification process after the initial application has been submitted. The tile displays each step and requirement, the overall completion percentage, and intuitive icons that highlight the applicant’s current stage and any pending action items.
This article will demonstrate how the Progress Tile will look when the contact's initial certification application requirements are at different stages and statuses. It will start before the application is submitted, and end with the final view of the Active Certification.
Setup
Data Setup:
In CRM, you will need to have an active certification type with the ‘Use Progress Visualization’ field set to Yes
You will also want to set up Steps and Requirements on the related Initial Certification Application Type record(s).
Icons and their meanings:
- Percentage Completion: Shown next to all Steps and aggregate-based queries (such as Experience). Calculates the number of completed requirements of the total number of requirements for that specific Step. On 100% completion, the Step will automatically minimize.
- Green Check: Shown next to all Requirements that are Completed.
- Yellow Triangle: Shown next to all Requirements that are Pending and Do Not Require Candidate Action.
- White Clock: Shown next to to all Requirements that are Waiting on Prerequisites.
- Blue Wheel: Shown next to all Requirements that are Pending and Require Candidate Action.
Example:
When a new contact, with no existing initial certification applications, logs into the portal and applies for a new certification, they can start to view the progress of the certification from the new tile.
Once the application is submitted, but they have not yet paid for it, the contact can see the Application Fee Paid requirement remains pending. As well, the staff manual review requirement is waiting on the payment pre-requisite.
Once the order is paid for, the tile updates and the Order Paid requirement now has the green complete check mark. Note that the Step 1 completion percentage has also updated to 50% given that ½ of the steps are now done.
If the contact fails the audit requirement, they will see the icon update for that step.
Once passed, in CRM, staff can deactivate all of the Step 1 as completed. The candidate will see that the Percentage has updated to 100% complete.
In this example, the Exam required for this certification has already been registered for during initial application. However, you can configure the Exam requirement to come later, or to only be accessible once other requirements or steps have been completed.
In CRM, on the Initial Certification Application, navigate to the "Degree, Exam & ADA" tab and verify there is a Pending Test Application with Exam Sections that are all pending.
On the portal, the Exam Passed icon has updated and you can check that there is an upcoming exam on the Exam tile.
In CRM, under the Test Application Section Results, deactivate one of the section results as Failed and the others as Passed. Save and see that the Exam record has now updated to 'Failed'.
On the portal, review the Progress Tile and the icon has updated.
Once all steps are complete, the certification will activate.
