As of Cobalt 3.11+, we introduced the application requirement to disclose ongoing or unknown criminal matters prior to beginning or renewing an application.
Setup
Certification Type:
Solicit Criminal Involvement - Yes/No flag that determines if you would like to display the criminal records question when going through the initial/continuing certification application process.
Settings:
- In Dynamics open the cog wheel on the top right and navigate to the Advanced Settings
- Open the Settings section
- Open the system's setting record (there should only be one)
- On the settings record locate the Criminal Disclosure Product lookup field
- Add a Product to charge portal users when they have a criminal data to disclose
Page Texts:
- Within Advanced Settings navigate to the Page Text section
- Create/verify the two page text records below:
- /Certification/Disclosure/HaltCertification.aspx
- /Certification/Disclosure/PendingCertification.aspx
Process
Initial/Continuing Certification Application:
When a portal user is attempting to apply or renew for a certification that requires them to disclose any criminal information they will have to answer the criminal disclosure question on the first page of the application.
The portal user will then have to add supporting documents.
The criminal disclosure product will be added to the cart and the portal user can check out.
Note: Once the criminal disclosure product is in the cart, the user will not be able to add other products to the cart, remove the criminal disclosure product, go back in the cart process, or cancel the cart process until payment of the criminal disclosure product is complete.
Staff will notice a change on the contact record for this portal user: On the contact record there is a new field called Criminal Matters. Once the criminal disclosure product is paid for the field will be set to "Under Review". In this mode, staff can do the following options:
- Additional Info Required - Portal user will have to submit more supporting documents on the portal (This is done by clicking the "Apply for X certification" link on the portal)
- Cleared - Portal user's current matters have been reviewed and they have been cleared to apply. Portal user can now apply for the certification normally.
- Halt Certification - Portal user has been denied the right to be certified and will not be able to apply for that certification.
Side Note: Awaiting Payment and Info Required are used when the portal user is going through the process on the portal.
